Getting Started with Supplies
Understand the EU Ink Passport feature and how to enable it.

The EU Ink Passport feature helps tattoo artists comply with EU regulations (REACH Regulation 2020/2081 and EN 17169:2020) by tracking inks and needles used in each tattoo session. It generates professional documentation that records batch numbers, expiry dates, and other traceability information required by law in many European countries.

Since January 2022, EU regulations require tattoo artists to:
- Record which inks are used on each client (brand, batch number, expiry date)
- Maintain traceability records for a minimum of 5 years
- Provide clients with documentation of inks used upon request
- Track needle/cartridge batch numbers in some jurisdictions
Non-compliance can result in fines and legal liability. The Ink Passport feature automates this record-keeping and generates compliant documentation.

The Ink Passport feature is opt-in. To enable it:
- Go to Supplies in the sidebar
- Click Enable EU Ink Passport
- Review the compliance information and confirm
For studios, the studio owner can enable the feature for all studio work. Individual artists can also enable it for their personal clients independently.

Pencild uses a two-tier catalogue system:
Tier 1: Product Catalogue
- Your personal catalogue of ink/needle products
- Product details: brand, colour, CI number, REACH compliance status
- Personal notes about each product
- Favourites marking for quick access
Tier 2: Instances (Physical Inventory)
- Individual bottles/cartridges with batch-specific data
- Batch number, lot number, expiry date
- Status: available, low, empty, expired
- Purchase tracking: date, supplier

Managing Your Inventory
Add inks and needles to your catalogue with batch numbers and expiry dates.

- Navigate to Supplies > Ink Catalogue
- Click Add to Catalogue
- Search the global catalogue for your ink brand and colour, or enter details manually
- Save the product to your catalogue
- Click Add Instance on the product
- Enter the batch number (from the ink bottle label)
- Add expiry date and other details
- Save the instance

- Navigate to Supplies > Needle Catalogue
- Click Add to Catalogue
- Search the catalogue or enter details manually (brand, type, configuration)
- Save the product
- Click Add Instance
- Enter the batch/lot number and quantity
- Save the instance

- Favourites: Inks/needles you've marked with a star for quick access
- Frequently Used: Top 10 supplies by usage count in the last 90 days
Both appear prominently when recording session supplies for faster selection.

- Studio inventory: Inks and needles owned by the studio, available to all artists working at that studio
- Personal inventory: Your own inks and needles, available only when you're working on personal clients
When recording session supplies in a studio context, you can select from both the studio's inventory and your personal inventory.
Recording Session Supplies
Document which supplies were used for each tattoo appointment.

- Open the appointment in your calendar
- Scroll to the Supplies Used section
- Click Record Supplies
- Select inks from your inventory (favourites and frequently used appear first)
- For each ink, optionally select the body area where it was applied
- Select any needles used
- Save the session supplies
The system creates a permanent snapshot of all supply details at the time of recording.

Yes. On the appointment detail page, click Edit Supplies to modify the inks, needles, or body areas recorded for that session. All changes are tracked with timestamps.

Pencild tracks two types of expiry:
- Manufacturer expiry: The date printed on the bottle
- Opened expiry: Based on when you first used the bottle (default 12 months shelf life after opening)
The effective expiry is the earlier of these two dates. Warnings appear:
- EXPIRED – Cannot be selected (red, disabled)
- Expiring Soon – 30 days or less to expiry (amber warning)
- Non-REACH – Product not marked as REACH compliant (info badge)
Ink Passport Documents
Generate professional compliance documents for your clients.

An Ink Passport is a PDF document generated for a tattoo session containing:
- Client name and session date
- Artist and studio information
- Complete list of inks used (brand, colour, batch number, CI number, expiry date)
- Needles used (brand, type, batch number)
- Body areas tattooed
- Document ID for traceability
- EU compliance notice and retention period

After recording supplies for a session:
- Open the appointment detail page
- In the Supplies Used section, click Generate Ink Passport
- The PDF is created and can be downloaded
- Optionally email it directly to the client

Yes. On the Ink Passport detail page, click Email to Client. The PDF is sent to the client's email address on file, and the system records when the passport was emailed.

Records are retained for a minimum of 5 years from the session date, as required by EU regulations. This matches the retention period for consent forms. All data is stored securely with encryption for sensitive fields.

For products with Auto-replenish enabled:
- Set a low stock threshold (default: 1)
- When available instance count falls below threshold
- A task is automatically created to reorder
- Stay on top of inventory without manual checking
